Knowing your audience is crucial because it allows you to modify your writing to appeal to them. This contains two crucial components:

being able to respond to their key issues with the content you incorporate; and using the right style of writing.

For instance, a corporate organization’s annual report must address the issues that stakeholders and potential stakeholders have. Therefore, information on financial difficulties and corporate social responsibility may need to be included. You can, however, assume that these readers are familiar with the organization. As a result, you won’t need to go into great depth about the organization’s operations or the responsibilities of each employee. Last but not least, you don’t know these readers. and they do not have a close personal relationship with the organisation that is publishing the report. The report will therefore need to be written in a fairly formal style.

A product or service’s marketing or advertising content, on the other hand, will be very different. There, you are addressing individual or groups of potential clients personally. For people to feel more connected to your good or service, you want to establish a deep relationship with them. As a result, your writing will be quite informal. For various marketing media, you will, however, probably employ different material and perhaps even a somewhat different style. Similar to how you would write differently and use different terminology for an article written on the same subject for the general public if you knew that your readers were experts in a particular field.

A literary phrase used to characterize the unique writing style of an author is the writer’s voice. Whether the language and style are formal or informal is another factor (relaxed). Since you and the audience are already somewhat accustomed with one another, letters and emails to close friends can be written in a fairly informal tone (your friend).

Because it helps their business seem more approachable and human, marketers frequently utilize a similar writing style when creating marketing copy. This fosters communication with potential clients.

When writing to more senior management or an unidentified peer in another organization, a more professional tone may be anticipated.

Before you start writing you should always identify your intended audience and try to understand their needs. You can then consider how to tailor both your content and your writing style to suit. However, it is also worth being aware of how your writing might come across to others-and make sure that you are unlikely to offend anyone
